What PawnCounter collects, why, and what we do with the files your shop uploads.

1. Who we are

PawnCounter is a pricing and profit-analytics service for independent pawn shops, run by Adelyons Software LLC, Council Bluffs, Iowa("Adelyons", "we", "us"). The website is pawncounter.com.

Questions about this policy or your data go to support@pawncounter.com. We answer by email; we do not offer phone support.

2. Two kinds of personal information

We handle two different kinds of information, and our role is different for each:

  • Your account information (the shop owner or staff member who signs up): we decide how it is used, and this policy covers it directly.
  • Your customers' information that appears inside the files your shop uploads (pawn tickets, police reporting exports, POS tables): your shop remains responsible for it. We process it only on your instructions, under our Data Processing Agreement.

3. What we collect

Account

  • Your email address and a password (the password is handled by our authentication provider; we never see it in plain text).
  • Your shop's name, city, point-of-sale system and settings such as your target margin.
  • Billing details: your plan and subscription status. Card numbers are entered on Stripe's pages and never reach our servers.

Files you upload

  • Exports from your POS or police-reporting system: tickets, loans, inventory and sales. These can contain your customers' names, ID numbers, dates of birth, addresses and phone numbers, alongside item and dollar details.
  • Files uploaded for a free Profit X-Ray without an account are handled the same way and are also stored.
  • Photos you take in the offer calculator.

Usage

  • First-party analytics events, such as "report viewed" or "upload started", with the page path, screen size and a random anonymous identifier. We strip names, email addresses and item descriptions from these events on our server, whatever the page sends.
  • Links in the emails we send to pawn shops are tracked per recipient business, so we can see which businesses visited our site from them and which pages they looked at.
  • Standard server logs (IP address, time, request) kept for security and troubleshooting.

4. How we treat your customers' information

PawnCounter analyzes items and dollars, never people. When a file arrives, customer identity fields (names, ID numbers, dates of birth, addresses, phone numbers) are replaced with one-way hashes before any analysis runs. Reports, dashboards and the offer calculator are built only from the hashed ledger.

We keep the original files you upload. They are stored encrypted in a private storage bucket that only our server can reach. We keep them so your history can be re-read as PawnCounter's readers and metrics improve, without asking you to send everything again. Because those originals still contain customer identity, we plan to add a step that strips identity columns from stored files; until then, treat an upload as containing everything that was in the file.

PawnCounter Local, when installed on a shop's own computer, keeps its data on that computer by default. Sending anonymized metrics to PawnCounter is optional and off until you turn it on.

5. How we use information

  • To produce your Profit X-Ray, dashboard, offer recommendations and other features you use.
  • To run your account: sign-in, password resets, billing and support.
  • To improve PawnCounter: fixing readers for new file formats, checking that reports are correct, and measuring which pages help shops.
  • To keep the service secure and to meet legal obligations.

6. What we never do

  • We do not sell personal information.
  • We do not use your customers' information for advertising or share it with other shops.
  • We do not use third-party trackers or advertising pixels on pawncounter.com.

7. Service providers

We use a small number of providers to run PawnCounter. Each receives only what it needs:

We may also disclose information when the law requires it, for example in response to a valid legal order.

8. Cookies and browser storage

  • A sign-in session stored in your browser (key pawncounter-auth) so you stay signed in.
  • A random anonymous identifier and a session identifier used for our own analytics.
  • No advertising cookies.

9. How long we keep information

  • Account and shop information: while your account is open.
  • Uploaded files, including free Profit X-Ray uploads: kept until you ask us to delete them.
  • The hashed ledger and reports built from your files: while your account is open, or until you ask us to delete them.
  • Analytics events: kept for 13 months, then deleted.
  • Server logs: kept for as long as they are useful for running and improving the service.

10. Deleting or getting a copy of your data

Email support@pawncounter.com from the address on your account to ask for a copy of your data or for deletion. Deletion removes the original files, the ledger, your reports and your account. We may keep billing records where the law requires it.

If you are a pawn shop customer, your pawn shop controls your information. Please contact the shop directly; we will help them respond.

11. Security

Traffic is encrypted in transit (HTTPS). Stored data is encrypted at rest by our hosting providers. Access to stored files and the database uses least-privilege keys held only on our server, and database rules stop one shop from reading another's data. Customer identity is hashed before analysis. No system is perfectly secure; if we learn of a breach affecting your data, we will tell you.

12. Children

PawnCounter is a business service for pawn shops. It is not directed at children, and we do not knowingly collect children's information.

13. Changes to this policy

If we change this policy we will update the date above, and tell account holders by email about material changes.
